Refund Policy

Overview

This policy outlines the terms and conditions for refunds of registration fees paid through the University of the Aegean electronic payment platform. Refunds are processed in accordance with ELKE (Special Account for Research Funds) regulations.

Eligibility for Refund

You may be eligible for a refund in the following cases:

  • Program discontinuation - If you discontinue participation before the program start date
  • Scholarship award - If you receive a scholarship that covers your fees
  • Overpayment - If you paid more than the required amount
  • Fee exemption - If you become eligible for a fee exemption after payment
  • Program cancellation - If the University cancels the program

Refund Process

To request a refund:

  1. Submit a written request to the program secretariat or through the payment platform
  2. Include your full name, program name, payment details, and reason for refund
  3. Attach supporting documents as required (see below)
  4. Your request will be reviewed by the Coordinating Committee
  5. If approved, the refund will be processed to your original payment method

Required Documents

Depending on the refund reason, you may need to provide:

  • Coordinating Committee decision (for Master's programs)
  • Form At13 or At14 (with digital signature or gov.gr verification)
  • Form At20 for multiple refunds (unsigned)
  • Proof of scholarship or fee exemption
  • Bank account details for the refund transfer

Processing Timeline

Refund requests are typically processed within 30-45 working days after approval. The actual timeline may vary depending on the complexity of your case, required approvals, and bank processing times. Card payment refunds are returned to the original card used for payment.

Non-Refundable Cases

Refunds may not be granted in the following situations:

  • Requests made after program completion
  • Voluntary withdrawal after the program start date without valid reason
  • Bank transfer fees or card processing fees
  • Payments made in error where services were rendered
